Guidance to help you ensure all provision of food at events is safe and compliant with legislation.
🍽️ Catering at Student Group Events
🚫 Not Allowed: Home-made Food
Home-made cooked food (excluding baked goods) is not permitted at any student group events due to health risks and liability concerns.
✅ Allowed:
The following four types of catering are permitted at Student Group events:
- Pre-packaged Foods
- Baked Goods
- GSU Catering
- External Catering
1. Pre-packaged Foods
If bringing pre-packaged or pre-cooked food (not requiring reheating), you do not need to notify us.
You must:
- Buy from a reputable supplier (e.g. a supermarket)
- Keep original packaging for display
- Display allergen information clearly
- Follow storage instructions on packaging
- Maintain cleanliness during serving
- Prevent cross-contamination at all stages
- Understand that the Students' Union accepts no liability for consumption
2. Baked Goods
Planning to offer baked goods (cakes, muffins, cookies, etc.)? Email your Coordinator.
Ensure the following:
- Follow proper food hygiene during prep, transport, and serving
- Label allergens clearly – see FSA allergen guidance
- Avoid cross-contamination
- Store items safely
- The Students' Union accepts no liability for food or drinks consumed
🍰 FSA Tips for Bake Sales
When baking at home:
- Use reliable recipes
- Wash hands thoroughly
- Clean all equipment and surfaces
- Avoid raw eggs in uncooked items
- Refrigerate cheesecakes and cream-based desserts
- Store in sealed containers away from raw food
On the event day:
- Transport food in clean, sealed containers
- Keep cream items out of the fridge no longer than 4 hours
- Use tongs or cake slices when serving
3. GSU Catering
GSU venues such as Lower Deck, Deep End, Tudor Café, and Candy Shack offer catering options.
Speak to your Student Group Coordinator to organise catering through GSU.
4. External Catering
For catering companies or restaurants, you must send your Coordinator these documents and wait for their approval:
- HACCP document (ask the caterer and they will be able to provide this)
- Risk Assessment (completed by your Student Group)
Important: Without these documents approved, the caterer cannot legally serve food at your event.
